SUBJECT: Recommendation to Award Bid to Provide Pump and Water
Well Repair and Maintenance Services, Bid #2648
Introduction
This report concerns award of bid to provide Pump and Water Well
Repair and Maintenance Services for the Water Division,
Environmental and Public Works Management Department, at
specified unit prices, plus applicable sales tax, with two one-year renewal options.
Background
In response to published Notices Inviting Bids (published June 13
and June 16, 1997) to provide Pump and Water Well Repair and
Maintenance Services in accordance with City specifications, bids
were received and publicly opened and read on June 23, 1997.
Proposal forms were mailed to two vendors and notices were
advertised in accordance with City Charter and Municipal Code
provisions. Two proposals were received as set forth on the
attached table (Exhibit A).
This is a highly specialized service which requires expertise and
portable equipment to fulfill the City's maintenance
requirements.
It is necessary that the City select two qualified vendors
available to cover an emergency situation because one vendor
might not be available when needed.
Therefore, staff recommends that award be made to both bidders at
specified unit prices. Staff will contact the vendor with the
lowest hourly rate at the time service is needed. If the vendor
is unable to perform, staff will contact the alternate vendor.
Budget/Financial Impact
Fiscal Year 1997-98 appropriation authority for this purchase is
in the Water Division, Environmental and Public Works Management
Department, account number 25-500-671-00000-5501-00000. The
estimated annual expenditure is $300,000.00.
Recommendation
It is recommended that the award of Bid #2648 be made to General
Pump Company and Beylick Drilling Inc. at specified unit prices
plus applicable tax with two one-year renewal options..
