City Council Meeting: 02-09-99 Santa Monica, California

TO: Mayor and City Council

FROM: City Staff

SUBJECT: Recommendation to Award Bid to Furnish and Deliver One Four Wheel Drive Utility Vehicle, Bid #2737

Introduction

This report recommends award of bid to furnish and deliver one four wheel drive utility vehicle for the Office of Operations Division, Police Department, in the total amount of $28,125.00, including applicable sales tax.

Background

In response to published Notices Inviting Bids (published December 30 and 31, 1998) in accordance with City specifications, bids were received and publicly opened and read on January 14, 1999. Proposal forms for one four wheel drive utility vehicle were mailed to seven vendors and notices were advertised in accordance with City Charter and Municipal Code provisions. Two proposals were received as follows:

VENDOR AMOUNT
Crown Dodge $28,125.00
Claude Short Dodge $28,143.92

This vehicle will replace a 1994 Ford Explorer which is no longer cost effective to repair. It will be used for routine beach patrols and for rescue situations such as towing other vehicles out of the sand and other emergency responses.

Staff has evaluated the low bid and finds that it meets City specifications. The purchase of this gasoline powered vehicle is consistent with the City's reduced emission policy. The vehicle will be used for emergency response.

Budget/Financial Impact

Fiscal Year 1998-99 appropriation authority for this purchase is in the Office of Operations Division, Police Department, account number 01-300-305-00000-8806-00000.

Recommendation

It is recommended that the award of Bid #2737 be made to Crown Dodge for one four wheel drive utility vehicle in the total amount of $28,125.00, including applicable sales tax, as the lowest responsible bidder.
